Development Operations Associate

Location: ACLU Offices (currently Miami or Tallahassee) or Remote within Florida

The American Civil Liberties Union Foundation of Florida (ACLU of Florida) seeks a full‑time Development Operations Associate to support the Development Department in achieving its fundraising goals. This is a hybrid position, with preference for candidates able to work regularly from our Miami office. All candidates must reside in Florida.

The Development Department includes four full‑time fundraisers and a grant writer. The Development Operations Associate plays a key role in donation processing, donor acknowledgment, data management, research, reporting, and overall departmental operations.

The organization litigates constitutional cases in state and federal courts and also submits administrative complaints to government agencies.


Key Responsibilities

Gift Processing & Database Management

  • Process donations from various giving channels and enter data into the donor database.
  • Prepare and send timely gift acknowledgments.
  • Create and manage mailing lists for fundraising communications.
  • Generate reports on donations, donor demographics, and giving history.
  • Maintain and update the development database in coordination with Development staff.
  • Retain backup documentation for audits, reconciliations, and reporting.
  • Collaborate with the Finance team on reconciliations and related activities.
  • Stay current with industry best practices and ACLU national guidelines.
  • Utilize Tableau to inform development team decision making.

Research & Prospect Management

  • Conduct data analysis and research to identify new donor prospects and funding opportunities.
  • Provide reports to executive leadership and development staff in support of statewide donor engagement and travel.
  • Ensure development officer portfolios are consistently updated with new prospects.

Operational Support

  • Serve as the main point of contact for cross‑functional internal inquiries.
  • Track development officer metrics and prepare reports to ensure departmental KPIs are met.
  • Assist with preparing data and materials for departmental and board committee meetings.
  • Collaborate with the Finance team to reconcile monthly gifts and ensure timely payment of related invoices.
  • Lead the annual reconciliation process, in collaboration with the Finance team, involving both the affiliate and the National ACLU.

Other Duties

  • Assist with special projects and other tasks assigned by the Director of Philanthropy.

Qualifications and Attributes

  • Minimum of five years of experience in data entry, database management, or client relations required; experience in nonprofit fundraising and gift processing is strongly preferred.
  • Associate or Bachelor's degree in philanthropy, nonprofit management, business administration, client relations, or related field preferred.
  • Strong proficiency in CRM platforms (e.g., Salesforce, Blackbaud) is required.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and SharePoint.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong organizational and time‑management skills with the ability to meet deadlines under pressure.
  • High attention to detail and commitment to accuracy.
  • Ability to work independently and collaboratively across teams.
  • Ability to manage sensitive and confidential information.
  • Demonstrated ability to work effectively with colleagues and stakeholders at all levels.

Compensation and Benefits
The starting salary range is $60,000–$81,000, commensurate with experience and qualifications. Benefits include generous health, dental, and life insurance; a defined‑contribution retirement plan; and ample vacation and sick leave.
